Convert PDF Form into Adaptive Form

Hi, in this video, we will convert, a PDF form into an adaptive form, using AEM Forms Automated - Forms Conversion service. So, what you see on the screen is a typical PDF form, which has some fields, and after the user has filled the form, he’s expected to sign - on the signature field. So, these are the kinds of forms that government organizations, or some financial institutions, have listed on their website. So, to provide a better experience for the end users, or the citizens to - interact with these forms, we can convert this Legacy PDF forms, into adaptive forms, and present the adaptive forms, for the user to fill and sign, using AEM Forms integration - with Adobe Sign. So, before we convert this PDF form, into adaptive form, we need to make sure that this form, is not password protected, or it does not have any security applied. So, to check that, we open the form in Acrobat or the Reader and check its properties, and go to the security tab here, and make sure there is no, security applied to the form. If this document were to - have password security, or any other kind of security, the Automated Forms Conversion - will not work against, any PDF forms that have - security applied to it. So since our form, does not have any security applied, we can safely convert - this into adaptive form, using our Automated - Forms Conversion service. So, the first thing we need to do, is to import this form into AEM, and to do that, I have created a folder called DFCS, I’m going to to drill - down into the folder, and upload the PDF form, into this particular folder.
So I learned to upload this form, into this folder, click upload.
So now that my form is uploaded, I can start the conversion process, to do that, I need to select the form, and click on start automated conversion. So here we need to select, the cloud configuration. So in our case, we’re going to select the - same cloud configuration, that we created in the earlier videos. We need to select the appropriate, adaptive form template. If you remember, every active form is based on a template, and it is here that you can specify the template that you want to use, when this form is converted, you can specify an adaptive form team. So a team defines the look, and feel of your form. So we provide some teams out of the box like the advent team. So I’m going to select - the advent team here. And then there are some additional configuration options that you can specify here, or there are some - additional advanced options that you can use while converting a PDF document, into an adaptive form, for the purpose of this use case, I’m not going to change - any of those options and then click on start conversion.
So the conversion , takes a couple of minutes depending on the complexity of the form. So our PDF document, has now been converted, successfully converted - into an adaptive form, and their adaptive form is placed in the output folder. So before we open the adaptive form, let’s do a review of the conversion process to do that, I select my PDF document and open the review conversion tab here. So this opens the review, and correct editor, If using this editor, you can make improvements to identify fields and regenerate the adaptive form, to get an output, which is closer to your - desired experience. So using this editor, you can identify the fields and the content missed during conversion, you can even verify, the type of a field, and change the type if required. So for example, the descendant name is - a field of type text, and to make sure that it is of type text in the converted form, you can double click that and see that it is of type texts in a similar manner, you can double click the date of that field and make - sure it is of type text. If for some reason, the field is not the correct type. You can select that field, and you can simply change, that field to the appropriate type, using this drop down button here. You can also, filter the type of fields from here. So if you want to see only, the choice group components, you can filter that, and it will only show you the fields, of type choice group here.
So I’m going to to reset it back to all. The next thing we can do is, we can group some fields - in a panel, if you want. So, let’s go to page two of this field, and there is a section, here called personal representative, which has some text fields under that. So, if you want to group these fields, in a panel for easier management, of this fields you can do so, by selecting each of these fields here, select these fields, and then you can group - them into a panel here.
Since our PDF document, contained a signature field, let’s take a look at the converted form. Let’s make sure, that the Automated Forms - Conversion service, was able to correctly identify, the signature field. So, let’s go back to our screen here, and this is the signature field here, double click that signature field, to open up the properties. And as you can see, it has been converted into, a type called Adobe Sign block or Adobe signature block. What that means is, when someone is filling out, this adaptive form, and is signing the signature captured by the Adobe Sign process, will be placed in this location, identified by Adobe signature block. So, if you are satisfied with your form, you can save this form, or if you’re not satisfied, and whatever changes you have applied, you can apply those changes, and reconvert this PDF document, into an adaptive form - till you’re satisfied. And once you’re satisfied with the conversion, the next thing would be to open, that form in the edit mode, and make some minor changes. So that the form is more presentable, to your final customer, or the final user. -
